Operations Audit — Week 1

Before anything else, we need to understand your current state. We spend one week reviewing your Shopify or WooCommerce order flow, your returns process, your supplier communication setup, and any active 3PL integrations.

At the end of the week, you receive a written document — not a slide deck — covering: where your process breaks, how much time it's costing, and what we'd specifically do about it.

The audit fee is €1,200. It's credited toward your first month's retainer if you continue. If you don't, you keep the document.

Read access

Shopify or WooCommerce admin (view-only). You control what we see and can revoke at any time.

Process docs

Any existing SOPs, supplier contact lists, or 3PL agreements. Whatever you have — even if it's rough.

One interview

A 60-minute call with whoever currently manages ops. That's it from your side.

Setup & Integration — Week 2

If you decide to move forward after the audit, week two is integration and setup. We connect to your store, establish communication protocols with your 3PL and suppliers, set up shared tracking tools, and document every process we'll be running in your name.

By the end of week two, we have a live ops runbook that your team can read, question, and approve. Nothing goes live without your sign-off.

Setup is included in your first month's retainer. No separate setup fee.

Ongoing Operations — Monthly Retainer

From month one, we run your agreed ops scope. Your team gets a weekly async update every Monday morning, a monthly performance review with the lead account manager, and adjustable scope as your order volume changes through the year.

We don't disappear between updates. Escalations during business hours (Mon–Fri, 09:00–18:00 CET) are acknowledged within 4 hours.

First 30 days: if the agreed onboarding KPIs aren't met, you get a full refund. We've never had to issue one, but the guarantee is real.

Common questions
Most outsourcing fails because the handover is bad, not because outsourcing itself doesn't work. We spend an entire week just on the audit and another on setup documentation — before we run anything. If your last experience involved a provider who started on day one without a proper ops runbook, that's the problem we're solving.
Reasonable. The audit only needs read access — no changes to your store during that phase. For the retainer, write permissions are defined per task and documented in the runbook. You always know exactly what we can and can't do. Revoking access takes 30 seconds on your end.
We typically work with brands doing 500+ orders per month and at least €500K annual revenue. Below that threshold, the economics of a retainer usually don't make sense for either side. The audit is available regardless of volume if you just want the operational review.
Shopify and WooCommerce. We chose those two platforms deliberately and we know them well. If you're on Magento or a custom platform, we're not the right fit — we'd rather be honest about that than take on something we can't do properly.
We adapt to your tools — Slack, email, or whatever you're already using. The shared ops log is updated daily, so you can check status without asking. Weekly updates arrive on Monday mornings. Escalations during CET business hours have a 4-hour acknowledgement target.
